In the 1.9 4Team version and later, 4Team comes with Dashboard4Team & reports (it will stop functioning after 14 days if you do not purchase a separate license for Dashboard4Team). Use Dashboard and Reports for quick and easy access to each Project and review each member’s activity from all Projects calendar, tasks and contact data. Analyze members FreeBusy time and their tasks in one convenient place.
Note! If you use Workgroup Mode in MS Outlook 2000, always click on "Update Data" in the 4Team Folders menu after Send/Receive to update 4Team with the latest data.
Important Note: Import-Export is possible only between users with the same version of Outlook.
To optimize your work area use Outlook Field Chooser and Group
available from right-clicking.
Prior to closing MS Outlook, please click “Send and Receive” to update the 4Team Folders data.
If you are always online - set up your Outlook for automatic email sending (Tools->Options->Mail setup->"send immediately when connected" should be checked) after you create a new message or make changes in 4Team Folders.
Remember about restrictions of various Internet Service Providers as to the size of files that may be transferred via their email. When using 4Team Folders, do not try to transfer documents of bigger sizes than ISPs allow (Usually 2Mb). You may think of using “FTP” for big files.
It is absolutely not important what network your teammates are linked to and how they are connected to the Internet: via Intranet, dial-up connection or broadband, and whether or not this network is secured by a firewall.
All your input will become accessible to your teammates after you press the Send & Receive button, or in accordance with the automatic mail delivery schedule set up in MS Outlook. You may review and manage all Team Folders offline (without the Internet) or online.
When MS Outlook asks your permission to access your folders in 4Team, please allow it and select a schedule for this access, thus increasing your security.
For quick access to the 4Team Folders keep the Outlook Folder List open or use Dashboard4Team (covered by separate license).
You will not be able to change the names of the folders or add new Project shared sub-folders in this version.
If you are assigned as Invitee (Attendee) to a task, meeting or appointment, these objects will appear in your default Outlook Personal Folder (Outlook Today). You can enable/disable these options in 4Team Advanced Options menu.
When the Administrator deletes the project, it will disappear from all computers of your team.
If you make changes in the Administration Area, you need to click the "Update" button from the 4Team menu.
If you need to re-send the project information to other participant, just click on the green button beside his name in the Project Members section of the ProjectAdmin folder.
